Judge it before you buy it

A spreadsheet is a page of cells arranged in rows and columns. A cell can hold a label, a number or a formula that calculates something. You do not need to learn an entire spreadsheet program to answer one useful question. You do need to understand what your numbers represent.
Our practice question is: how much did a fictional community event spend, and how much of the budget remains? We will make the table ourselves in a spreadsheet app such as Excel or Google Sheets. AI will explain the layout and formulas. This method does not depend on the assistant being able to create or edit a file directly.
Open a blank sheet. Across the first row, enter Item in A1, Quantity in B1, Unit cost in C1 and Total in D1. “A1” means column A, row 1. Enter these three rows: Chairs, 12, 4; Tables, 3, 15; Signs, 5, 6. Use numbers without currency symbols while entering the practice data. You can format them as money afterward.
Before asking AI, estimate the result. Twelve chairs at $4 should be just under $50. Three tables at $15 should be $45. Five signs at $6 should be $30. That rough expectation is a useful alarm if the final answer says $1,230.
In D2, enter =B2*C2. The equals sign tells the spreadsheet this is a calculation. B2 supplies the quantity. The asterisk means multiplication. C2 supplies the cost of one chair. The result should be 48.
For this first exercise, type =B3*C3 in D3 and =B4*C4 in D4. You should see 45 and 30. Later you can learn to copy or fill a formula down, allowing the row references to change automatically. Typing three formulas first makes the relationship visible. A shortcut is easier to trust after you know what it shortens.
In A5, type Total spent. In D5, enter =SUM(D2:D4). SUM adds the cells named inside the parentheses. The colon means the continuous range from D2 through D4, including both ends. The expected result is 123. The dollar amounts here are fictional and use one currency throughout.
In A7, type Budget and put 150 in D7. In A8, type Remaining and put =D7-D5 in D8. The result is 27. You have built a working sheet with inputs, row calculations, a total and a comparison against a budget.
A negative remaining amount would mean this spending exceeds the budget. It would not mean the formula failed. Ask AI to explain an unexpected result before asking it to make the result look better.
A sheet that displays the expected total once may still contain a fixed answer instead of a formula. Test it by changing the chair quantity from 12 to 13. D2 should become 52, D5 should become 127 and D8 should become 23. Put the quantity back to 12; the original results should return.
This test proves something more useful than a screenshot of $123: the particular formulas respond correctly to this particular change. It does not certify an entire business workbook. When your sheet grows, test the new relationships too.
Suppose the assistant proposes =SUM(D2:D5) in D5. That formula includes its own cell, creating a circular reference. The total is trying to depend on itself. Use =SUM(D2:D4) instead and check the highlighted range in your app. The important habit is to inspect which cells a formula uses, not memorize every possible error name.
Another common problem is a number stored as text. If you type an apostrophe before 4, or paste unusual spaces and currency marks, the app may treat the entry as characters rather than a quantity. Do not let AI fix the problem by replacing the total with the number you wanted. Ask it to diagnose the input and preserve the calculation.
Keep private names, salaries, account details and customer information out of screenshots sent for help. A fictional copy with the same column structure is often enough to explain the issue.
Name the sheet Event costs. Add a note saying what the budget includes. In this example there is no tax, delivery fee or deposit deduction. Do not treat omitted costs as zero in a real comparison. Add rows when those costs exist, and update the total range deliberately.
Distinguish quantity from price, and price from total. A column containing some monthly charges and some annual charges cannot be summed into a meaningful annual cost without conversion. AI can explain the conversion, but you must supply the billing period. A tidy spreadsheet cannot rescue mixed definitions.
For a work example, you could track tasks by owner, due date and status without any formula at all. For household use, a renewal list may need dates and verified amounts more than calculations. Choose the simplest sheet that answers your question.
Your practice is complete when you can point to the three inputs in a row, explain =B2*C2 in ordinary words and predict what changes when the quantity increases by one. Save a copy before experimenting further. You now have a method for learning the next formula: ask for the exact cell, the meaning of the formula, an expected result and a small change that tests it.
